Privacy Policy

This policy explains how we collect, use, store, and protect personal information when you use Precision Sports Coaching — including information about the children you register for coaching. We take the privacy of young players seriously and only collect what we genuinely need to deliver safe, effective coaching.

1. Who we are

Precision Sports Coaching is operated by Noah Nesselroad, a sole trader trading as “Precision Sports Coaching” (“we”, “us”, “our”). For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), Noah Nesselroad is the data controller responsible for your personal data.

2. The information we collect

Depending on how you use the site, we may collect:

Information you give us about yourself (the parent/guardian)

  • Your name, email address, and (optionally) phone number.
  • Your account password, which is stored only in an encrypted (hashed) form — we never see it.
  • Messages you send us through the in-app chat or contact form.

Information you give us about your child

  • The child’s name, date of birth or age, and gender (optional).
  • Playing position and any notes you choose to share.
  • Medical and health information you enter (for example allergies, asthma, or injuries). This is “special category” data and we treat it with extra care — see section 4.
  • Any additional details requested on the child registration form.

Information created as you use the service

  • Session booking requests, their status, and any booking notes.
  • Enquiries you submit through the contact / booking form.
  • Basic technical data — such as your IP address and security logs — processed by our hosting and network providers to keep the service running and secure.

3. How and why we use your information

We only use your information where the law allows. Our lawful bases under the UK GDPR are:

  • To perform our contract with you — creating and managing your account, taking and confirming session bookings, and communicating with you about sessions.
  • Our legitimate interests — running and improving the coaching service, keeping records, responding to enquiries, and protecting the security of the site. We balance these against your rights and only rely on them where appropriate.
  • Your consent — for any optional information you choose to provide, and specifically (with your explicit consent) for your child’s medical/health information. You can withdraw consent at any time.
  • Legal obligations — where we must keep or disclose information to comply with the law or to safeguard a child.

4. Children’s and medical information

This service is intended to be used by parents and guardians (aged 18 or over) who register their children for coaching. Accounts should not be created by children themselves.

When you provide health or medical details about your child, you are giving us your explicit consent to hold and use that information for one purpose only: to keep your child safe and to deliver coaching appropriately (for example, knowing about an allergy or an inhaler). This information is visible only to the coach. You can update or remove it at any time from your account, or by contacting us.

5. Who we share information with

We never sell your data. We share it only with the service providers (“processors”) that help us run the platform, and only as needed:

  • Supabase — our database, authentication, and hosting provider, which stores your account data, bookings, messages, and child profiles, and sends account emails (such as email-confirmation links).
  • Cloudflare — provides our domain, content delivery, and security/anti-abuse protection.

We may also disclose information if required by law, or where necessary to protect the safety or welfare of a child.

6. Where your data is stored (international transfers)

Our database is currently hosted by Supabase on servers located in the United States. This means your information — including your child’s details — is transferred to and processed in the US. Where data is transferred outside the UK, we rely on appropriate safeguards recognised under UK data protection law (such as the UK International Data Transfer Agreement / Addendum and Standard Contractual Clauses) to make sure your information remains protected to UK standards. You can ask us for more detail about these safeguards.

7. How long we keep your information

We keep personal data only for as long as we need it. Our general approach is:

  • Account and child profiles — kept while your account is active, and deleted within a reasonable period after you close your account or ask us to, unless we must keep certain records longer for legal or safeguarding reasons.
  • Medical/health notes — kept only while your child is actively training with us, and removed when no longer needed.
  • Booking and message history — retained for the duration of the coaching relationship and a limited period afterwards for our records.
  • Contact-form enquiries — deleted within around 12 months if no coaching relationship begins.

8. How we protect your information

  • All traffic to the site is encrypted using HTTPS.
  • Passwords are stored only as secure hashes, never in plain text.
  • Database access is restricted by row-level security so that each parent can see only their own family’s information, and medical details are visible only to the coach.
  • Access to personal data is limited to those who need it.

9. Cookies

We use only essential cookies — specifically, a secure session cookie that keeps you logged in. We do not use advertising cookies or third-party analytics that track you, so no cookie-consent banner is required. If this ever changes, we will update this policy and ask for your consent where needed.

10. Your rights

Under UK data protection law you have the right to:

  • access the personal data we hold about you and your child;
  • ask us to correct inaccurate or incomplete data;
  • ask us to delete data (the “right to be forgotten”);
  • ask us to restrict or object to certain processing;
  • request a copy of your data in a portable format;
  • withdraw consent at any time, where we rely on consent.

11. Complaints

We hope to resolve any concern you have directly. You also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO), at ico.org.uk or by calling 0303 123 1113.

12. Changes to this policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above and, where the changes are significant, let you know.
